Problem 01
“We’re not getting enough leads.”
Every enquiry that waits until Monday is a job you paid to attract, handed to whichever firm replied first.

What it actually costs
What it is costing you
Why it happens
Why it happens
Enquiries don’t keep office hours. They arrive at 9pm on a Sunday, while you’re halfway up a ladder or in the middle of service, and land in an inbox between an invoice and a newsletter. The customer has sent the same message to other firms. In the study above, firms that replied within the hour were nearly seven times as likely to get a real conversation with the person deciding as firms that replied an hour later. By Monday morning, that conversation is usually happening with someone else.
Not laziness. Plumbing. The form emails one person, who is busy. The spam filter swallows a real enquiry and lets the junk through. A quote goes out, the customer goes quiet, and nothing reminds anyone to chase it. The same study found the same fault at scale: leads collected from the system once a day instead of the moment they arrive. Fix the plumbing and the same team answers faster without working any harder.
And if you can’t see where enquiries come from, you can’t find the leak. Game and Flames, an award-winning live-fire caterer in Bexhill-on-Sea, came to us with leads arriving by email and getting lost, spam drowning real enquiries, quotes built from a spreadsheet over an evening, and no idea which enquiries came from paid social and which were organic. It also had 2,000 names on a mailing list nobody was writing to. None of that is a marketing problem. It’s a systems problem, and systems can be fixed this month.
How we fix it
How we fix it
- 01
We rebuild the pages that turn visitors into enquiries.
Your reviews, your best work and a form that works on a phone go where people actually look: Game and Flames’ old site hid 69 five-star reviews, and the new one puts every one on show.
- 02
Every enquiry lands in one pipeline the moment it arrives.
Forms and inboxes feed one list, six layers of silent spam checks clear the junk with anything borderline flagged for a person, and the light stays on after the office goes dark.
- 03
An AI agent drafts each reply in minutes, and a person sends it.
It writes from your prices, your availability and the way you write, so approving a good draft from your phone at 9pm beats writing one from scratch on Monday.
- 04
Quotes that go quiet get chased, and you sign off every chase.
The system drafts each follow-up on a schedule you set and stops the moment they reply or opt out, because a quote nobody chases is a quote you’ve decided to lose.
- 05
Every lead is tagged with where it came from.
One dashboard shows which channels send enquiries that become bookings, the way Game and Flames’ reporting compares paid and organic enquiries over 90 days.

Will my customers be dealing with a robot?
No. A machine drafts the reply and a person sends it. The agent writes from your own prices, availability and past replies, so you’re editing rather than starting from nothing, and nothing leaves until someone in your business has read it. Correcting a draft takes less time than writing one, and each correction tells us what to tighten in the instructions the agent follows. If you later decide something simple can go out on its own, such as a booking confirmation, that’s your call, agreed in writing, and you can reverse it.
We already have a CRM. Do we have to start again?
Not if it works and your team actually uses it. We can connect the agent to it through an MCP server - a connector that lets the AI read and update your CRM - and build the reply, chase and tracking around what you already have. The same kind of connector can reach your inbox, calendar and website forms, which is the start of a business brain: one memory of how your business works that staff and AI both read. If your CRM is really a spreadsheet with ambitions, we’ll say so and build you a proper pipeline instead.
How quickly can this be running?
On the free review call we name one thing we could ship in two weeks and roughly what it’s worth to you. We start with whichever leak is costing you most, because that’s what pays for the rest. If you go ahead, the proposal has a fixed price, a fixed scope and a fixed timeline. While we build, you get a written update every week and a demo every two weeks, so there’s never a month where you wonder what we’re doing. We’d rather show you a working system than a slide about one.
What does it cost?
It depends on what you need, so there’s no price list. After the review call we quote a fixed price for a fixed scope, with the value written beside it: leads answered, hours saved, work won. If the numbers don’t justify the build, we’ll tell you. The review itself is a 20 to 30 minute call, and you get a plain-English summary by email within one working day: three fixes, in order, with a rough value on each. One question on that call is what happens to a lead in its first hour, so it’s worth timing yours before we speak.
Where does our customer data live?
In your accounts, not ours. We build on Cloudflare, the network your site is served from, which keeps hosting bills near zero, and at handover you get the code repository and every login. Notes, the activity log and the history of every enquiry sit in the same system, so nothing important lives in someone’s personal inbox. Game and Flames’ system also runs a nightly backup and tests that it restores. If we ever part ways, everything stays exactly where it is, because it was never ours to take.

A call of 20 to 30 minutes. We find the gaps, the leaks and the quick wins, and what each one is worth to you. Fixed price after that, no hourly rates. No 200-page deck.
